Terms and Conditions for Use of The Austin Room

 

Terms and Conditions:

For the purpose of this agreement, the person booking an event at The Austin Room will be referred to as the client.  This individual named is authorized to bind to Thyme Catering to these terms and conditions and is obligated to make the agreed upon payments.

 

Prices:

All quoted prices are current and subject to change.  These menus are valid for events that occur between January 2006 and December 2006, excluding holidays.  Please add a 6% state sales tax.  Your specific contract will state the room rental fee.  All menu selections must be submitted at least two weeks prior to event date.  A children size adult entrée will be priced at half the adult price per child between the ages of 5 and 9 years.  Or call to discuss a specific children’s menu.

 

Payment:

A nonrefundable, nontransferable deposit of two hundred dollars ($200.00) is required to confirm our services and a second deposit of an estimated 50% is required thirty (30) days prior to your event.   The final balance of all charges will be required at the conclusion of your event by cash, personal check, cashiers check, money order, Visa or MasterCard.

 

Guarantees:

A guaranteed minimum number of guests, with entrée breakdown, if applicable, is due five (5) business days prior to your event date.  This number may increase; not decrease.  If the actual number of guests in attendance exceeds the guaranteed number, you will be billed for the balance, payable at the conclusion of your event.  If the number of guests attending falls below the guaranteed minimum, the guaranteed number will be charged.  A minimum of 80 guests is required for Saturday evening events(unless approved by Thyme Catering).

 

Room Guidelines:

Thyme Catering does not assume any responsibility for damages or loss of any merchandise or articles left in The Austin Room or anywhere in the IBEW building prior to, during or following the clients’ event.  Children age 12 years and under are required to be under continuous adult supervision and must remain in The Austin Room.  All decorations must be pre-approved by the catering office. We allow thirty (30) minutes at the conclusion of your event for your guests and subcontractors to vacate the premises. A $100.00 per half-hour room rental fee will apply after the first thirty (30) minutes.

 

Cancellation Policy:

In the event of cancellation, Thyme Catering will retain the initial $200 deposit as liquidated damages and 75% of the second deposit.  Should the cancellation occur within five business days or less of your event, full payment of the estimated charges will be required.                                            

 

Indemnification:

The client shall indemnify, defend and hold harmless Thyme Catering and its officers, agents, employees from any and all demands, claims and damages to persons or property, losses and liabilities, including attorneys fees (collectively “Claims”) arising out of or caused by the client or its guests and sub contractors use of Thyme Catering’s property, real or personal.

 

Vendor and Sub-Contractors:

All vendors and sub-contractors who will perform services on client’s behalf at The Austin Room will be subject to our approval. 

 

Beverage Service & Liquor Liability Policy:

Only guests 21 years or older will be served alcoholic beverages as mandated by state law.  Thyme Catering reserves the right to ask for proper identification from any guest and has the right of first refusal.  Bar service may be discontinued for violations of the LCB rules and regulations.
